Role Overview

To work with the Head of Participant Experience, to support the Subcamp Leaders to create a welcoming home for the participants and leaders, whilst always striving to ensure that everyone has the best possible experience. Before, during or after the Jamboree you may be asked to deputise for the Head of Participant Experience. Reports to the Head of Participant Experience. Responsible for Subcamp Leaders.

Responsibilities

  • Before Jamboree (2026-2027):
    • Meetings:
      • Attend regular bi-monthly meetings with the Head of Participant Experience and Subcamp Leaders, to share best practice and ideas; capturing the minutes, including allocating and pursuing actions in a timely manner.
      • Meeting regularly with the Director and Deputy Director of Subcamps.
      • Ad-hoc sessions with other Directorates.
    • Strategy: Working with the Head of Participant Experience to formulate and deliver a structured approach, to support the Subcamp Leaders over the proceeding two years; before, during and after the Jamboree.
    • Liaison: Work closely with teams in other Directorates; including establishing a buddy system between the Subcamp Teams and teams such as International, Communications and Wellbeing and Safeguarding.
    • Documentation: Support the Head of Participant Experience to establish a document management system to ensure all Subcamps have clear and consistent access to data they require to fulfil their role.
  • 2027-2028:
    • Meetings: Attend monthly (and ad-hoc) with the Head of Participant Experience and Subcamp Leaders, including Essex Weekend 2028. Continuing to capture the minutes, including allocating and pursuing actions.
    • Documentation: Continue to support the Subcamp Leaders through the established communication channels, to ensure they have clear and consistent access to data they require to fulfil their role.
    • Finance: Maintain regular communication between the Subcamps’ Finance Lead and the Finance Team to capture accurate expenditure monthly.
    • Continued Liaison: Working closely with teams in other Directorates.
  • During Jamboree:
    • Keep Spirits High: With the Head of Participant Experience Team foster a fun, welcoming environment for all Subcamp Teams.
    • Problem Solving: Support the Head of Participant Experience to troubleshoot for any issues that occur across the Subcamps.
    • Meetings: Attend daily meetings with the Head of Participant Experience and Subcamp Leaders; capturing and pursuing actions.
    • Liaison: Work closely with all Subcamps and Directors Teams throughout the event.
    • Ambassador: Throughout the event act as an Ambassador for EIJ’32, promoting the opportunities through the Jamboree.
  • After Jamboree:
    • Meeting: Support the Head of Participant Experience to facilitate a debrief session for the Subcamp Leaders, capturing their best practice and ideas on how the event could be improved to share with EIJ Directors.
    • Ambassador: Continue to act as Ambassador of EIJ, promoting the next event in 2032.

Who we are looking for

An organised and analytical individual. Confident communicators who are comfortable liaising with different teams and communicating clearly with large, varied volunteer groups. Knowledge of, or a willingness to learn, to support the Subcamp Leaders to write and review documentation, such as risk assessments and subcamp policies. A positive, adaptable problem-solver with a cheerful disposition who thrives in a fast-paced, dynamic event environment is essential.
