Staff Arrival Process

We've put together this simple guide to help make your arrival on Thames Subcamp smooth and simple.

Arrival

  1. When you arrive please go straight to the Operations Hub:
    • At the hub you will be asked to confirm your details
    • You will be given your wristband and Thames scarf
    • The team will direct you to the staff support help desk
  2. Next head to the Staff Support Help Desk:
    • You will be assigned a camping zone
    • Even if you have a pre-assigned camping zone, you still need to go to the staff support help desk before starting to pitch
    • Everyone needs collect tent tags from the Staff Support Help Desk before proceeding
  3. Now you can pitch your tent and start to make yourself at home!
    • Once you have pitched, please add you tent tag to the main entrance to your tent, caravan, campervan or trailer tent
    • Now please return to the Staff Support Help Desk to confirm your location with the team
    • This important if we need to find you quickly in an emergency

Late Arrivals

For those arriving between 21:00 and 08:00, please email thames@eij.org.uk  so a team member can be available to support you.

Special Arrangements for Caravans, Campervans, and Trailer Tents:

  • Please email thames@eij.org.uk with your anticipated date and arrival time
  • This ensures someone is available to assist you with pitching.

Vehicle Restrictions:

  • Vehicles are not allowed on the staff camping fields
  • Exceptions are made for caravans, campervans, and trailer tents only in the designated zone
  • Cars need to be moved to the car park as soon as possible
  • Once parked, please place your car parking sign into your car.

Gazebos & Party Tents:

  • Gazebos and party tents are allowed if space permits
  • These cannot be pitched until after the opening ceremony
  • Any gazebos or party tents pitched before the opening ceremony will need to be taken down
  • If bringing a gazebo or party tent, please carefully consider how it will be safely secured to the ground, especially in high winds
  • In exceptional circumstances, the campsite or safety team may need to strike a gazebo or party tent if the weather conditions make them unsafe.

Decorating Noa’s Diner:

  • We aim to decorate Noa’s Diner, the staff restaurant, with various scarves/neckers
  • A donation box will be available next to the Staff Support Help Desk
  • We cannot guarantee the safe return of scarves/neckers, please consider this when donating.
