Role Overview
Plan, deliver and manage all aspects of arrivals and departures at EIJ 2028, including travel by coach and minibus and arrivals by air and sea. During event week, provide transport for adults and young people who are unable to walk to zones, and arrange off-site travel on request, such as planned visits to Chelmsford for sightseeing or shopping. Lead a team of volunteers aged 18 and over, ensuring they are well supported, organised and confident in their roles. Report directly to the Directors of Registration.
Responsibilities
- Lead a team of volunteers aged 18 and over to plan and deliver an effective arrivals and departures programme
- Plan and manage all transport for arrivals and departures, including coaches, minibuses and arrivals by air and sea
- Arrange on-site transport during event week for adults and young people who are unable to walk to zones
- Coordinate off-site transport on request, including planned visits to Chelmsford for sightseeing or shopping
- Carry out risk assessments and enforce all relevant safety procedures for the coach and minibus parking area, in liaison with the Safety team
- Collaborate closely with other directorates, particularly the Facilities, International, Registration and Car Parking teams
- Liaise with the Programme Team on transport and car parking arrangements for EIJ in a Day, where applicable
- Liaise with the catering and welfare teams during arrival and departure days to ensure sufficient food and hydration for the team
- Work within an agreed budget for all transport provision
- Attend planning meetings and respond to communications in a timely and professional manner, on-site full time for the duration of the event
- Commit to the role from mid-September 2026 until at least one week after the Jamboree
Who we are looking for
Organised individuals with strong communication skills and the ability to manage a diverse volunteer team. Proven people management skills and the ability to work within an agreed budget are required. The ability to remain calm under pressure is needed. A proactive and enthusiastic approach, with a clear focus on delivering a safe experience for everyone arriving at EIJ 2028 from across the Scouting and Guiding community, is essential.
