A message from our 2028 Chiefs

Dear Friends,

After the incredible success, atmosphere, and energy of EIJ 2024, we’re ready to do it all again — and make EIJ 2028 even more unforgettable. But to make it happen, we need you.

Creating a village for 10,000 Scouts and Guides is a huge challenge — from infrastructure to activities — but the rewards are just as great. As a volunteer, you’ll help shape life-changing experiences for young people from around the world, and you’ll grow too — building friendships, skills, and memories that last a lifetime.

What is the Exec Team?
The Exec Team is at the heart of planning and delivering the Essex International Jamboree. From finance to programme, every role is vital to creating an unforgettable event for thousands of Scouts, Guides, and volunteers from all over the world.

Exec Team Structure
The Essex International Jamboree 2028 Exec Team is structured to ensure smooth planning, effective coordination, and delivery of an unforgettable event. The team is divided into a hierarchy of roles, each with specific responsibilities, working together to achieve our vision.

Chiefs

At the top of the structure, the Chiefs provide the overall vision, strategy, and project management for the event. They oversee the alignment with Scouting and Guiding principles, liaise with Trustees and County Commissioners, and ensure the Exec Team has the support they need.

Deputy Chiefs

The Deputy Chiefs lead four key areas that form the core of the event's operations:

  • Compliance: Oversees policies, contracts, risk management, and safety planning.
  • Engagement: Focuses on youth involvement, recruitment, partnerships, and local and corporate engagement.
  • Finance: Responsible for budgeting, financial oversight, and asset management.
  • Operations: Manages scheduling, event operations, and programme delivery.
Directors

The Directors lead specific departments, each critical to the success of the Jamboree:

  • Communications: Handles internal and external communication, including social media, PR, newsletters, and on-site media.
  • Facilities: Ensures all site services, infrastructure, and utilities are in place, from layout to takedown.
  • Health & Safety: Ensures the safety and wellbeing of everyone on-site, including first aid, security, and compliance with regulations.
  • Programme: Delivers an exciting and engaging programme for all participants and staff, including daytime, evening, and international activities.
  • Registration: Manages participant and staff registration, data systems, and transport logistics.
  • Retail: Oversees concessions, warehouse operations, merchandise, and sponsorships.
  • Subcamps: Focuses on participant and staff experiences in subcamps, including welfare, sustainability, and staff catering.
Expectations of an Exec Team Member

As a member of the Exec Team you have an important role in order for the event to be a success. Here is a list of what is expected from someone in the Exec Team:

  • Attend monthly Exec Team meetings (usually 1st Tuesday of each month during term time)
  • Submit a report ahead of the meeting detailing progress and any issues which need to be addressed
  • Maintain regular communication with the Chiefs and other members of the Exec Team
  • Complete agreed actions in a timely manner
  • Raise issues as soon as possible so support can be given to address them
  • Disseminate information from Exec Team meetings to your team members
  • Follow up actions with team members to ensure they are completed

8th July 2028 - 22nd July: Build fortnight
22nd July - 28th July: Fit out
29th July - 5th August: Event week (Staff required 28th - 6th)
6th August - 10th August: Take down
